How to setup Outlook on iPhone or iPad

Introduction

Microsoft offers a free Outlook app on iOS to connect to your County email and calendar. In fact, the Outlook app is Microsoft’s recommended app for mobile devices accessing Office 365 mailboxes (though they also allow other apps to connect). FCDC recommends and provides active support for this app on both County-owned and personally-owned mobile devices.

For remote access to Microsoft 365 resources on the web or via mobile app, you must first be enrolled in PingID.

NOTE: If you already use the Outlook mobile app with personal email…

When the mobile Outlook app is connected to the County’s new Office 365 email system, the app will delete all other email accounts already configured in the Outlook app. For County data security reasons, you cannot mix personal and work email in the same app at this time.

If you are already using the Outlook mobile app for personal email you must either:

  1. Move your personal email account(s) to another email app, then setup mobile Outlook with your County account

  2. Setup your County email on another email app, if possible

  3. Only access your County email via mobile web browser at outlook.office365.com


Setting up Outlook on Apple Device

  1. On your iPhone or iPad, download the free Outlook app from the App Store

  2. Tap the Outlook app icon to get it started

  3. The screen should prompt you to Add Account if you’re new to the app

    1. Enter your formal work email address

    2. Tap Add Account

  4. Enter your regular Windows / PC / email password and click Sign in

  5. If you’re outside the Franklin County network, you must authorize your remote login via PingID. This requires prior setup, as noted at the start of these instructions.

    1. If you’re inside the Franklin County network, skip to the next step.

  6. Once you’re successfully logged in, the Outlook app will show you a welcome screen. Swipe left to see new features or tap Skip in the lower-left corner.

  7. Tap Turn On notifications if you would like Outlook to provide email alerts and calendar reminders via sounds and notifications.

    1. This can be turned on or off later in Outlook app Settings.

  8. Tap Allow to ensure you get any notifications requested in the prior step.

    1. This can be turned on or off later in device Settings.

  9. Your setup is complete!


Recommended Settings

In the following steps we have some recommended settings changes you may want to make, but these are user preferences, not requirements.

 

  1. To adjust Outlook settings, tap the Inbox title text in the upper-left corner of the screen.

    1. This slides over a sheet showing your mailbox folders.

  2. After the options sheet appears, tap the gear icon in the lower-left corner of the screen.

    1. This opens the Settings sheet to access Outlook preferences.

  3. Tap the Office 365 account item in the list.

  4. We recommend you turn on the Block External Images option. Then tap the Back arrow in the upper-left corner.

    1. This can protect you from spam, phishing, identity tracking, and reduce your bandwidth usage by preventing email images from appearing unless you tap to accept them.

  5. While still in the Settings sheet, scroll the list up and find the Signature option. Tap it to open the sheet for editing your email signature, which by default is “Get Outlook for iOS.” You can blank it out or edit it.

    1. NOTE: Any signature you create in Outlook for iOS does not appear in any other system (webmail, Outlook for Windows, etc.).

  6. When done with your Signature, tap the Back arrow in the upper-left corner of the Signature editor, then tap the X button in the upper-left corner of the Settings sheet.


Congratulations!

Outlook is now configured on your iOS device. You can now see and edit your calendar, search, read, or send email from anywhere, and get notifications of new messages and meeting reminders.
